Great client based software

Pros:

The software has helped our facility manage memberships, events, and payments thoroughly and efficiently. I especially appreciate the flexibility in customizing almost every feature to fit our needs.

Cons:

It was a bit hard to train others how to use the software but we eventually got the hang of it and enjoy using it.

Love Admin has been brilliant for our Club!

Comments: Really positive! From the initial set up to launching the system with our membership - it's been a great experience :)

Pros:

Love Admin has significantly reduced the amount of admin as a Club we have to do. With a small committee, trying to run a fairly large sports club, Love Admin, truly has been a lifesaver. The functionality of reports that you can pull off is excellent. The team behind the scenes at Love Admin are superb and are so quick to respond. It's been brilliant for us as a Club and has allowed us to concentrate on other things!

Cons:

We have yet to explore the templates in the communication part of Love Admin - it has seemed quite fiddly thus far but it's early days for us and know that if we need to reach out to the team at Love Admin that they would point us in the right direction!

I love love admin!

Good idea but poorly executed

Comments: Our dance school has now gone into liquidation. I believe some of this is down to the problems we had with paysubs. I would strongly recommend finding an alternative to your organisational needs.

Pros:

We chose this software because it could be adapted to fit in with how we already ran our organisation. Most class management software is very unflexible, but this gave us the choice to fully customise the customer experience.

Cons:

When I first contacted paysubs about their software I was told that it could do pretty much everything, that it would be a substitute for mailchimp, accounting software and that it could create landing pages for my events. All of this was sold to me as being 'free'. Apparently what they meant was that I should charge my customers what extra to cover it. We were quite a long way through the set up process when I realised this was all untrue. I complained and they denied they said it! We were so far in and had promised our customers we were moving to a new better system so decided to continue. As quite a tech junkie, always making use of the latest online software, I've never had a problem turning my hand to anything. Paysubs was different. They said they were going to set it up for me, but after a while it became apparent that they didn't have any sort of grasp on how our business ran and how things needed to be set up. The person who was assigned to help had terrible communication skills. Sometimes writing whole paragraphs without a single punctuation mark. Making it very difficult for us to understand what on earth she was saying. In the end I took on the task of setting it up myself with the help of my team. It took up a lot of our time for several months meaning we lost focus on other more important things. It wasn't at all intuitive to use so we had to spend ages fiddling about trying to work out how things work. The help menu wasn't much help and although our contact at paysubs was quick to respond she wasn't able to give us the answers we needed without many confusing emails going back and forth.

It is true that we are a free software as we don’t charge for initial purchase – we do, however, have a transaction fee of between 2.95%-3.95% which (when compared to other businesses who do this, such as eBay, who charge 8% and up) we think is reasonable. It’s also clearly shown on our website under ‘Pricing’, in our terms and conditions, and we also told you on the phone, so it was no secret as you’ve wrongly implied. Regarding your dissatisfaction with our communication, we also have to disagree. We apologise if you found it hard to understand our email communication, but we also have free phone support from 9am-5:30pm, Monday to Friday. Alternatively, we also offer dedicated one-to-one screen shares where we walk you through how to do things with our software which you took advantage of many times and we have record of. Either way, we’re sorry you feel this way and wish you the best with resolving your liquidation.”

Comments: Supportive and aspirational. I have seen there software and services grow and develop and so has my company. I am pleased we made the change and I would never look back. We joined to make our lives easier and to be able to get back time to grow and improve our offer, we got this and so much more. We are now part of the LoveAdmin community, and enjoy all the services the platform has to offer.

Pros:

It is fantastic to have all your contacts, invoices and registers in one place. It is simple to onboard new customers, and the automation of payments, reminders etc. mean that a missed payment is now a thing of the past. And most importantly it is much easier for our members. The business development support is extremely valuable with 1-1 sessions helping us to set goals and achieve them. A lovely bonus is the Step2Success podcast which our team listen to and it is great to hear the challenges and celebrations of other activity providers.

Cons:

Transferring over from manual to digital was of course a challenge. It was new to the staff and the parents. It took time and there were teething problems, however the support team were fantastic. Since joining there have been a few problems with the software, however the support team are brilliant and very patient. I have been with LoveAdmin over a year and any issues the developers quickly solve and the software just keeps getting better!

Alternatives Considered: Jackrabbit Dance, DanceStudio-Pro and Class Manager

Reasons for Switching to LoveAdmin: I chose LoveAdmin over these products as I had a stronger connection to their values, their pricing structure was more appealing and I felt there was value for money with all the additional support they offered. However my final decision was swayed by an encounter at their stall at Move it where the humility of the staff made me feel like I would be fully supported by people who really care.

Swim school made easy

Comments: I had to learnt this system very quickly and thankfully its simplistic interface has made it easy to do. The support from our Account Manager has been great - nothing is too much trouble and always reports back on issues raised promptly and clearly.

Pros:

I find the setup of my classes really easy and the timetables are easy to view, with filters making it quick and easy to look at available classes.

Cons:

Unfortunately some of the financial reports do not always accurately represent the true situation, and it can be hard to reconcile the expected revenue with what actually has been received.

Transition from V1 to V2

Comments: The transition over from V1 to V2 was smooth and helpful. It was great to have the team onboard. The e-learning was easy and useful. The team helped us well and was available over Christmas if we needed them.

Pros:

The ease of how the parents can navigate the new V2, the shop and how easy the payments are to take.

Cons:

Sometimes the buffering on V1 it sometimes didnt work on certain types of devices and also parents found to optional extras tricky to find

Misleading

Comments: The advisor was apologetic, but said it was so the company made more money.

Pros:

Looks great on the website until you speak with "onboarding"

Cons:

Since the new version of the software, LoveAdmin require businesses that work with them to turn over £20,000 through their system. This is highly unlikely with the companies such as community football teams or clubs that they market to. This penalises small businesses and community clubs. Unfortunately, this isnt information is not displayed anywhere on their website either.

Not just help with Admin - helps grow your business!

Comments: Very positive! I feel like they understand my business really well, and [sensitive content hidden] (my account manager) is always ready to give advice about how to increase revenue streams, which is much more than I'd expect from admin software!

Pros:

There are so many features - easy invoicing, timetabling, assigning coaches, communication with students. Customer service is fantastic - there's always someone ready to help resolve any issues or answer any questions Business management support is amazing at helping grow your business

Cons:

Not really a con, but because there are so many features it can sometimes be difficult to work out how to implement a new process, but as mentioned earlier there's always someone to help guide you.

Reasons for Choosing LoveAdmin: There was a lack of functionality. Timetables and registers were really good, but sending invoices was slow and there was no integrated communication with parents.

Reasons for Switching to LoveAdmin: Suited our company better, more functionality, wanted to have registers. Also version 1 had a payroll function which we really liked, and are hoping they bring back with version 2!

Comments: Feel like a lot is quite long winded but once you get the hang of it it is easier to use!

Pros:

Being able to export to excel, timetable and registers clear.

Cons:

Having parent account and athlete accounts. Would be good to be able to send out a form to customers by email to complete. At the moment you have to add it to your shop which is quite long winded. Need to be able to add larger files to emails. I find running reports for outstanding payments quite confusing - feel it needs to be clearer which invoices outstanding (this could be me but do think there could be easier ways to view it).

Makes Running Our Gymnastics Club Easy

Comments: Overall we've been very happy using LoveAdmin for our gymnastics club. And we have always found the staff super helpful.

Pros:

Everything is in one place. It makes keeping on top of everything so much easier.

Cons:

We've been using Version 1 which had a few slow functions but we're about to upgrade to Version 2 so hopefully there will be so many more usability options.

Comments: Fantastic, from the initial contact to handover and deployment! Well don Loveadmin

Pros:

Support from the word go, so many user customisable templates, features and reports I haven’t even got half way through.

Cons:

Absolutely nothing to do with the Loveadmin portal. The only drawback is getting everyone to enter their data again. I wish I would have found this 2 years ago! I can’t import all the spreadsheets I have to the platform as mine are such a mess. At least this give me the chance to start afresh with the client data.

Comments: Have just completed our first annual membership renewal using the Loveadmin software I am pleased with support received with the renewal process.
The club directors are delighted with the increase in club membership which has resulted from the use of Loveadmin software.

Pros:

Easy to use and track membership. Help and support received from Loveadmin is quick and efficient.

Cons:

Not had any real problems as the Loveadmin help team have always been quick to offer support.

Comments: Information that I can extract and present does not satisfy other members of our committee. We will be looking for a new system next season in all liklihood

Pros:

It has good features. Worked easily with direct debits and GoCardless, it is collection 90% of our subs due.

Cons:

Support when frequent problems arise. Its not cheap and needs to be much more effective to make it worthwhile in the long term. Not much support in chasing up outstanding subs. One or two bugs.

Pros:

I love ALL the features of PaySubsOnline; -Event management -Allows members to update their membership information -Can provide for a members only event and a non-members payment. -A commission payment % of each payment (which is worth it for our organisation of 65- 80 members, and infrequent ) - Web-based and can be added to your website through adding a HTML code. -A reasonable number of tutorials to show how one uses it. - Reasonable customer service

Cons:

Although I love the features, if I could find another alternative that was running faster than Paysubs with all these features and the same price, I would swap instantly. It is rather outdated, and needs to be streamlined a bit better. It often lags, and my members are frequently sending me emails about issues with payment through Paypal or credit card, so it has not made my life easier when collecting dues, because I am frequently replying emails and asking members to pay again. I love it, but needs some work.

Running Club membership

Comments: The time I have saved using Pay Subs has been very considerable, no longer is there a need to produce hundreds of renewal letters each year which all needed to be stuffed into envelopes and posted. The overall cost to the club has not been great as the Pay Subs fees are offset by the reduction in mailing and printing costs.
The ability to put out email messages to the membership is also an asset.
We now only use the online system for accepting new members and only a very small minority have a problem signing up. The sequence for adding date of birth has stumped a few, but it has not caused a significant problem.
I would not even consider the option of going back to our previous method of dealing with membership matters as the Pay Subs system suit our needs perfectly.
