Pros:

Smartwebs was easy and cost effective to implement to help us and our clients efficient and organized when reviewing HOA violations and Architectural Requests.

Cons:

I have 2 separate accounts, one for my company and one for the HOA. I cannot be signed into both at the same time and get it's frustrating having to sign in-sign out.

The best property management software on the market!

Pros:

Smartwebs made customized implementation and training for our community associations a breeze. We expected a learning curve with switching from our old management systems, but it really was so simple with very little pushback from our managers. When questions or concerns did arise, they were lightning fast to respond. They are continuously improving software features and implementations. We didn't know it could get any better! I would recommend Smartwebs to any association whether you are managing with spreadsheets or another HOA management software.

Cons:

A training portal with recorded videos would be a great addition, however not necessary as the walk-through training was enough for us.

Comments: Overall everything has been awesome! Very easy program to learn quickly.

Pros:

This software is best for organization. The residents can monitor their accounts in demand and management can have l information stored in one database! Super Effective!

Cons:

The software is extremely picky and causes a lot of unnecessary emails between the management and residents. Example- the system won’t pick up Lane vs Ln

Could be fantastic!

Comments: It's a great program, but can be cumbersome with the features not being utilized at full potential.

Pros:

I like that it's easy to run reports and this it has a offline version. The reception in our area is poor. I also love the touch free mailing, that has been a huge timesaver!

Cons:

The houses are never in the correct spots and we have been told the only way to reset them is to manually move them. We are in East Mesa and some of the homes end up in buckeye. Then we have to manually move them from there and place them to where they are supposed to live. The offline version used to also have tracking, but that never works properly. When escalating to the fourth notice, it skips to the 5th. I then have to manually change that to 4th when I move them to be processed. We also have different fines for different violations, so we also have to manually change that.

There is no better way!!!

Comments: My overall experience has been wonderful!

Pros:

This is a great program to track violations in the community management field. Makes it super easy to use a and track. There is no other program I would suggest.

Cons:

The set up takes awhile, and doing the back end work is time consuming but totally worth it.

Comments: Overall, its an amazing and easy to use software.

Pros:

I truly enjoy how accessible this software is in any one of our wants and needs in accessing our community.

Cons:

I guess I would say how small the note sections are and how the date is automatically applied when placing a hold until it is fully sent through, if I am one day off I won't know until after.

Comments: The experience has been wonderful, as we add more associations, they have been there to help us along the way!

Pros:

The thing I value the most is the constant support from the SmartWebs team, whether it is Operator error (which most of the time it is lol) or a software issue (they are ALWAYS open to feedback to make their software better) there is always someone there to support the process.

Cons:

The only thing is that there is so much functionality, it takes a moment to wrap my head around all of it, but like I said, there is always someone to help us through it all. We had weekly meetings until we were all set and comfy using the software on our own!

Smartwebs is the best choice

Pros:

Pros: We selected Smartwebs for many reasons.  For starters, the letter templates ensure consistency in outgoing resident communication regarding modifications and our violations.  This coupled with expediting the work of our covenants department, the ease for volunteer committee members to review and vote on applications electronically, the efficiency of staff to send approvals to residents, and the online records storage in perpetuity all made it an easy sell.  The seamless integration with our third-party accounting software eliminated the prior problems we had with inconsistencies or errors in names and addresses when information was entered manually.  The work order software allows staff and contractors an organized way to track repairs that were previously discoursed via email with no long-term tracking logs, and the reports to the Board easily demonstrate the work load of employees and contractors.

Cons:

Cons: Occasional slowness when a new release update is coming out, however we have noticed it is speeding up as the team ensured us they are working diligently to resolve this.

SmartWebs is a smart move for your HOA

Comments: I wound recommend SW to any HOA management team. I would remind them that “garbage in , garbage out “ when working with the implementation team to make sure they had clean data to import as this is critical to their success with SW. I wound also recommend they have someone staff as a super user. This person should be the expert in all things SW. This would be beneficial to their daily operation

Pros:

The best feature of this software is not something written in the software but rather it’s the customer service provided by the SW employees. We had yearly face to face meetings with the president of the company and could contact anyone at the office when ever we had an issue. We have the direct phone numbers of several senior level people and can contact them when needed. I have a background in software testing , from a previous job , so when I found some items that needed enhancements , I was able to work with the developers to create new items and processes within the software.

Cons:

It’s my belief that the software was not created for large scale HOAs. We have an enormous amount if data snd when running reports the software would not be able to accommodate the output. The system wound either crash or it wound just spin and spin and never give any results. I would have to contact SW Snd have someone there run my reports. This was very frustrating and time consuming

poor customer support

Comments: If I could find a competitor that was half ass competent we would change in a heartbeat. Goal is to find a reasonable alternative this year.

Pros:

getting better as they improve the updates. doesn't crash as much as it used to. for a while we were able to log into associtiations in other states and make updates. reported this to the vendor , they never acknowledged receipt of the problem and didn't fix for several months.

Cons:

extremely poor customer response. difficult getting replies to problems.

Smartwebs & HOA Management

Comments: I love Smartwebs easy-to-use software that's accessible anywhere with an internet connection. I hope my company goes on to use other services Smartwebs provides.

Pros:

It's easy to use. I spent a lot of time working on compliance and restriction violations. It's a simple process to upload photos that are integrated into the letters.

Cons:

Sometimes it's slow going when setting up a new community or adding more properties to an existing, developing community, especially when there aren't other supporting maps online to assist in the process since the development is so new, but that's hardly Smartwebs fault, rather a difficult situation.

My Smartwebs Experience

Comments: My overall experience with Smartwebs has been good. They are responsive when we have questions and are helpful in making changes if needed.

Pros:

I appreciate how easy it is to navigate through the system. I can move from the violation section to look up an architectural for a home in one click. I also like that you can see any home with an open violation from the main screen.

Cons:

The one feature I would like to see that isn't available is for architectural submittals . When requesting “more information” on an architectural submittal this is automatically placing the request on hold. This can’t happen as that stops the clock and we need to ensure that the calendar clock continues.

Comments: We love the system and would love it even more with the updates in the violation field.

Pros:

We love how everything is on the same software.

Cons:

We do not like the violation system that much, it takes a long time to create a violation or update one. We can also not see the previous photos on file.

A critical piece of the HOA puzzle. A must have for successful management.

Comments: It's been great. Super intuitive for the most part and if you're ever stuck the customer support is quick and amazing.

Pros:

Easy to use. Graphical. Geo-Tracking for on the spot enforcement. Inclusive and responsive for Architectural reviews and a great system for tracking and issuing covenant violations.

Cons:

I would love to be able to separate our community into neighborhoods as some neighborhoods have sub-associations that I don't want collaborators to have access to entire HOA.

Comments: Overall, I think Smartwebs is amazing and much better than our previous software. If the onboarding process were easier, I would rate 9-10/10

Pros:

Smartwebs is very user friendly. The overall visual aesthetic of Smartwebs is a huge time saver and makes working in the program incredibly efficient.

Cons:

I wish the software had a more comprehensive note taking section that allowed me to see current notes without adding in things like "violation closed" or had an option to disable viewing of that so the notes don't look as cluttered. I also wish there was a way to sync faster with our Virtual Management Software for situations such as escrow. I also wish there were ways to make the onboarding process quicker, such as AI to allow me to upload governing documents versus having to type them in by hand.

Cons:

Updates are cumbersome to put in. Sometimes it is hard for new users to use. Maybe a training portal for users with minimum technology background.

SmartWebs and VMS Communication

Comments: SmartWebs is great if there are no glitches. Simple things such as correcting language in VMS seems like an unnecessary step. It can be frustrating. But - when all goes well, it goes really well! It's much more efficient to process violations and download a PDF to print from that instead of individually from VMS.

Pros:

SmartWebs makes processing multiple violations easy. As an example, on specific days our inspector checks for recycling and trash receptacles that have been left out. Our community is large - over 2,500 units - and there are times that we issue a large quantity of violations. SmartWebs processes all the violations with ease and we can download the PDF to process and print. An attached photo printed with each violation is extremely helpful too!

Cons:

The communication between VMS and SmartWebs seems a bit off. In sticking with the trash & recycling example, I find that there is a lot of toggling between SmartWebs and VMS to make sure the language matches on the violation we sent to the homeowner. SmartWebs has the tendency to auto-load the text of how the violation reads in a resolution - quite lengthy. In cases like that, we need to cut and paste language into VMS to simple say, "Please keep your trash/recycling receptacles out of sight," or something similar. When there are several violations, that can be time consuming.

Comments: I like the fact that I can generate emails to owners for violations and not have to wait until they get a letter delivered by the Post office.

Pros:

The ease to generate violation notices and also ARC requests uploads

Cons:

I find the process to modify anything in the CCR section extremely difficult and your support documents don't have a lot of detailed explanation. I am sure this was covered in the original setup period. But over time and change of managers, I find that cleanup is needed and that is not always an easy process.

Comments: Not happy

Pros:

I don't like it, it is too time consuming

Cons:

Why would we charge an owner $25.00 or $35.00 to install a $5.00 - $10.00 plant? There are too many steps to do with this process and it was so much easier before. If an owner got a Denial on a project, he has to be charged AGAIN to submit the same project? That is not nice. With 3 board members, I get 3 different answers. Very frustrating to have to email them to have one decision or remind them to go into the system and decide. Some of them have trouble logging in, then it takes time for the Support Dept to see what is occurring, too much time is wasted.

Smartwebs Architecturals

Comments: Smartwebs automatically sends the approval or denial letters to the owners without me having to do anything extra. This software is great and I wish all of our communities would use it.

Pros:

I enjoy using the smartwebs Architectural, creating projects , attaching the documents and submitting to ACC for review has never been easier, faster and so much better that the old manual process. I recommend this software to all companies HOA's that have large communities and the integration was smooth.

Cons:

There isn't a feature that I can list as a least favorite for this software at this time. I enjoy using this software and the features available.

Easy, cost-worthy and efficient!

Comments: Before SmartWebs, our company used a spreadsheet to keep up with compliance. As we continued to bring in more doors, the need for a simpler and more effective way to keep up with violations was necessary. SmartWebs allowed for us to send multiple violations while on property. Integration was seamless as it merges with our software, VMS. And we have multiple communities who benefit from it.

Pros:

Easy to find a home address either by typing or viewing on the map Easy to find open violations and view notes while in the field Quick and effortless to send compliance reports to the Board/committee Architectural process is seamless Great to have all notes and backup info in one, easy to search location

Cons:

There is nothing that I do not like about SmartWebs to be quite frank. The system is constantly improving and we're happy with the product.

Comments: It has been a great experience overall. Any time there have been questions, support staff has been readily available.

Pros:

The interface and ease of working with this software has increased our efficiency greatly. What were previously manual, time consuming tasks are now streamlined, enabling us to process applications and violations with much greater ease.
