My Favorite EHR

Comments: Incredible! Such great customer service and an amazing product.

Pros:

This EHR is so affordable for a group practice compared to others that I've used. The customization is incredible as well. While the front-end work is a lot, it is so worth it to set up your systems well.

Cons:

I wish there was slightly more of an ability to customize insurance billing information.

IntakeQ is the best EHR

Spend extra money elsewhere

Comments: I wish I didn’t start with them now that my practice is growing.

Pros:

Their forms cost money to generate. After they sell you, they leave you high and dry for setup.

Cons:

Customer service is not great. All they do is send you a link to a guide. If I’m paying $6000+/ year per practice, I want to speak to someone when I have technical questions

Comments: IntakeQ has been so beneficial to our team and patients! We love how easy it is to fill out paperwork for our patients and the team can easily manage several forms and be organized. It really allows our office to be efficient, professional, and responsive to our patients

The ease of sending customized forms to patients and monitoring if they have been received and completed

Cons:

The only thing I can think of that I like the least is the occasional formatting difficulties when creating a new form. It takes some practice but luckily the support videos and support team have been very helpful!

A great EHR for therapists

Small practice - lots of forms

Comments: It works just how I'd want it to an fills the need we have for user friendly online forms, and even better it saves paper!

Pros:

The form creation is very easy to use and straightforward. Sometimes I have to try a few times to get the boxes how I want them, but it is not too difficult.

Cons:

Nothing that I can really think of. There might be some additional fields I would like, but overall it works how I would like!

Pros:

Ease of use and templates available to be used/modified easily

Cons:

It allows multiple forms to be created for the same patient and there is no easy way for the patient to come back and finish their unfinished forms. The system does not recognize the returning users and let them start duplicate forms.

Enjoying IntakeQ

Comments: We switched from Practice Better (PB) to IntakeQ in July 2022 and it's saved me on average 8 hours a week just in insurance billing alone. PB does not have an integrated clearinghouse, which meant manually tracking claims via a Google Sheet for every clinician and every client. With IntakeQ, all it takes is 3 button clicks and the claim is submitted, and the integrated clearinghouse options automatically update status and communicate this back to IntakeQ. Such a lifesaver!Note functionality is also much better than PB. Namely I disliked how PB would display every single checkbox and row in a chart even if they were not selected or answered. It made notes extremely long, cluttered, and virtually impossible to read. IntakeQ is customizable to where you can choose to show unselected/unanswered questions or not. There's also loads of options with conditional formatting and the ability to automate a task based on the answer received.The IntakeQ team is highly responsive and they work hard to implement feature requests that are strongly supported by the community. So far we are very pleased!

Pros:

Highly customizable forms and features with task automation and pinned notes. They are also very active in their Facebook support group and highly value the feedback they receive from their customers.

Cons:

Limited ability to transfer/upload patient records from another system (when transitioning the practice over to IntakeQ); no document library; inability to fax more than 1 document from a patient record at a time; no meds list or allergies function yet.

Alternatives Considered: SimplePractice and Kalix

Reasons for Choosing IntakeQ: Lack of an integrated clearinghouse in Practice Better in addition to the high costs and poor note template customization.

Great Product

Comments: I really like using it and find it meets my needs better than any other EHR I've used.

Pros:

IntakeQ is highly customizable allowing complete control over your forms and processes. It has amazing automations you can set up allowing for wonderful workflows. This is particularly helpful for group practices. The scheduling system is great and the forms and questionnaires are the best of any product I've used.

Cons:

It takes a lot to set things up because it is so customizable. It can also be hard to find things within the system because there are so many options and settings.

I love this platform

Comments: I am incredibly satisfied!
I was looking for something highly customizable and it met ALL of the criteria I was looking for when I changed platforms!

Pros:

I have been using IntakeQ since Jan 2020. I found this platform after being dissatisfied with the one I was previously using. I couldn't be happier with the change. 1. I was already using SRfax and this is integrated with that fax program 2. It take a little time to customize everything, but it is well worth it and the customer service response is great and fast. 3. I love that the booking and billing and EMR are all in one program 4. Faxing notes to doctors offices, receiving them back and then assigning them the to appropriate patient chart is fast and easy. 5. I can easily use this platform from my phone to book appointments, check faxes, review notes etc. 6. I can send automatic forms prior to the first visit and custom forms (including a COVID screening) prior to each visit. And much more !

Cons:

While the customer service is fast and generally meets my needs, it is always be email and sometimes I would prefer a phone conversation. If needed, they will schedule a phone call, but email is definitely the "go to" way they address inquiries.

Reasons for Choosing IntakeQ: I found WebPT not to be user friendly. It couldn't do simple billing (I do not bill insurance and needed only to generate a Superbill). The program couldn't make a Superbill and there was no work-around. I couldn't easily send AND receive faxes through the program with my established fax number.

Reasons for Switching to IntakeQ: It had the capability of EVERYTHING I was looking for and the price-point was right.

The best EHR I have used in 30+ years in practice

Comments: When I first started using IntakeQ, I thought this software must have been written by a practitioner who actually does notes! All the other software I have used was slanted to the computer tech who wrote the program. Then, it all made sense when I found out about the suggestion to change or improve things from the practitioners actually using the software. Thank you for not only asking but for actually continually improving things to make it just that much better!

Pros:

IntakeQ has actually allowed me to enjoy doing my patient notes! This has always been the worst part of practice - not anymore! I love the flexibility of making it "my own" with the flexible flows and processes. It truly is an all-in-one from the audio/video appointments, scheduling, appointment reminders, links to put on my website, and the connection to Fullscript, and it documents right in my notes. I love the voice-to-text feature as well. The ease of reading the notes and the professional look is amazing. The messaging is critical to me with the virtual practice and helps me stay connected with my patients.

Cons:

Honestly I have not cons. After using so many other EHR's in the past, intakeQ is a homerun for me.

I love IntakeQ and I am glad I switched

Comments: The customer service is stellar. You get live human beings and in less than an hour. They also have a great support page. I like the customizability, that I can use my favorite clearinghouse, choose which credit card processor I want to use, and even with video sessions, I can choose my platform. The more I use the program, the more wonderful features I discover. They are also always open to feedback and updating the EHR. I have been very happy with their product.

Pros:

I absolutely love that I can easily create and edit forms. The appointment calendar allows me to color code events. There are 3 different ways to accept credit cards, three different ways to do a video session, and three different ways to incorporate clearinghouses for claims processing. You get to choose which company you would like to use, not get stuck with the one option the other programs choose.

Cons:

I would love a very clear accounting page that shows me the charge for service, what the client owes, what the client paid, what the insurance owes, what the insurance paid, and any discounts to the fees. There is one but it is not right there in the client file where you can readily see it.

Gives you control

Comments: Overall I have been pleased and satisfied with it. I like the level at which I can individualize it. The developers frequently improve and add more to it. Also, The price has stayed very reasonable.

Pros:

It had everything I needed for practice management, and I could integrate it with online services I was already using, such as Square, Office Ally, and Google Workplace. The price was reasonable, and I had more control over how to set everything up, i.e. documentation, the client portal, and automated processes.

Cons:

Some things took a while to figure out how to do, and there have been some bugs. I wish there was more control over organizing documentation under a client's profile. I had experience developing documentation and using integrations with Google Workspace Apps, so it was probably an easier transition for me than it would be for someone who didn't have that experience.

Comments: Tremendous ease! I send out the forms and they get filled out. Not copying of forms. No storing of forms. No purchasing paper and toner. Fewer calls to the copier repair guy. They make my life better...

Pros:

Initially found the customer service to be exceedingly prompt and abundantly proficient. They set up cost for the forms is more than reasonable and the monthly expense is such a bargain. I have never known their system to go down. Simple to get going and no maintenance. We keep finding new uses for them. It is so great to be able to email a link to the client. The client follows the link, fills out the form(s) and then submits. The forms are easily downloaded. Could not be more pleased. Thank you, thank you, thank you...

Cons:

Seriously, I have yet to find one. I truly wish my every interaction could be an interaction like I've had with IntakeQ!

I like the tool but need more flexibility and workflows to support my business.

Pros:

Hippa compliance is the primary driver for the why we moved to the SW as well as being able to have clients complete forms online. I like the professional look and feel. The search is helpful.

Cons:

Not enough flexibility for processing intakes in bulk. Would like the ability to transfer in bulk between providers, link custom template office use fields with client custom fields so certain notes are pulled into the client's record. We need more flexibility in configuring the SW to meet our business needs. We have to use a separate scheduling SW because intakeq doesn't offer the same flexibility in setting up different classes. We use acuity and perhaps I just don't know how to effectively use the booking capability in intakeq. It would be really helpful to have workflows that you could define for intakes. For example, if a new intake comes in, I could set the default status to pending and on the dashboard only show pending intakes. Once the office processes the intake I could define a new status, for instance, ready or action-required... We would need the ability to display and filter based on status. It would be helpful to allow flexibility in defining any number of workflows. Unfortunately, given our business, I have to build manual processes around the SW even though we're doing very standard things. One other thing I've noticed is that I can only have about 5-7 open intakes at once otherwise the application hangs.

Comments: Intake forms are a snap to create, change, edit and send to patients/clients - could NOT be easier. And their service of uploading and formatting for you is SO affordable and easy.

Pros:

Easy layout, intuitive, simple with lots of options to do more complex work with it, constantly being upgraded and improved. Customer service is STUPENDOUS! They're fast, quick, kind, polite, thoughtful - really just top notch. Truly could not recommend more!

Cons:

It would be cool if there was an app, but it's not a big deal to keep a direct link to the website on my phone - super simple and takes 2 seconds to access on the go

Easy and Extremely Effective

Pros:

This software is the ideal solution for medical practices like mine that need to send paperwork to patients before their initial visits with us. This not only allows us to have the paperwork to review ahead of time but also allows our clinic to run more efficiently as our team doesn't have to wait for people to fill in their paperwork by hand in the office. They are excellent at converting detailed forms such as ours into digital copies without losing the integrity of the questions we are trying to answer. It also tells you who has started on their paperwork and how far they've gotten, while allowing you to print off any partial forms that aren't fully filled out. Also a terrific value for what you pay.

Cons:

If I had to nitpick, I would say the only thing I don't like about the software is that because we send the links in email form, some people try to fill it out via phone and don't make it very far.

Very Happy. Great Product

Pros:

Pretty much everything. A great system truly built around the needs of the practitioner, kind of like the Toyota of EHRs. Interface is fresh and easy to use. Customization is a breeze and functionality is fantastic. I shopped for an EHR for many months and was told by colleagues that I will eventually have to succumb to Simple Practice. They were wrong and I am so happy that I trusted my instincts that there just had to be a better, affordable solution out there. IQ is that solution.

Cons:

No live support and no 2-way communication on alerts (meaning, if i send a reminder to a coworker I do not know whether they opened it and there is no way for the coworker to 'sign off' on the reminder when it is has been completed. We also needed to create quite a trail of workarounds to deal with some glitches relating to the inability to attach treatment notes to outgoing claims in the Office Ally integration. But IQ was receptive and worked with us and we got it done.

Comments: I can manage the whole client booking experience in one place. The latest addition to automatic birthday email is incredible! And just love Client Portal, place where clients can check their appointments, packages, invoices, etc..

Pros:

I love IntakeQ! Before I started with IntakeQ, I did a deep search and tried different systems for my Massage/Coaching business. My main criteria were to go completely paperless and I was looking for a fully automatic way: Client book the session/ or I manually book a client; then the system will send the Intake form (You can even create your own Intake forms, with your own questions and is so easy!), Reminders (both email and SMS to choose), online booking. And after the session, I can easily update my clients details from my Ipad or phone (SOAP notes). The most importantly, the IntakeQ team is so responsive and always helpful, I asked for a few updates, and these were implemented in no time! Thank you so much IntakeQ team!

Cons:

None! The IntakeQ system is perfect! And the team is implementing new improvements on an ​ongoing basis.

Useful Software, Great Customer Service

Comments: Overall positive experience. Expect a learning curve in the beginning, and know that if you want to use IntakeQ for anything more than just the most basic scheduling, you will need to put some time into figuring out how it works. That said, I've been able to make beautiful intake forms, keep track of all of our scheduling, and transition to a nearly 100% digital system through IntakeQ. Recommended.

Pros:

This software has really streamlined our practice and allowed us to go almost 100% digital. There is a bit of a learning curve, but the help page is generally useful, and IntakeQ has some of the best customer service I have ever worked with. They always respond to my questions (and I've had many questions) within 24 hours, and I always feel like I'm talking to a "real" person that works with me to resolve any issues I'm having.

Cons:

Aspects of this software can be very confusing, particularly when it comes to the various "roles" that different accounts have. It is also sometimes unclear where to access certain functions. Sometimes I'm able to resolve these issues through the help page, but other times customer service has to help me figure it out. The software could be a lot more user friendly and intuitive, but the great customer service helps to make up for that.
