Easier than Ezy...

Comments: A fantastic winery software program, easy to use and great support staff. Would recommend to any winery, from boutique operations to multi site contract facilities.

Pros:

Great Winery Software System

Comments: Vintrace is an invaluable tool for us in our wine making. It streamlines how we communicate work that needs to be done, work that has been done and allows us to use that information out of one, clear system.

Pros:

We can run all of our winemaking work orders, analysis, volume tracking, costing, etc through this system. It handles all of our production needs and keeps it all in one spot for everyone to see and reference. It gets us out of spreadsheets all of the time and streamlines workflow. It allows us to make better wine!

Cons:

I would love to see some things consolidated into one space rather than being able to do most of what you need in a few different spots. Better all inclusive views of fermentation management, better all inclusive views of topping management. Tighter integration with analysis results. But we love it!

Reasons for Choosing vintrace: Functionality, ease of use, support

Reasons for Switching to vintrace: I've switched to Vintrace a couple of times over the years at different wineries. I've been using Vintrace for over 10 years and am extremely happy with its capabilities.

Finance Department

Comments: As far as the management of the manufacturing it works well for the wine maker. Inventory and product build is clunky as you have to be very specific on how you build a product otherwise the costing will report incorrectly so this exposes us to incorrect costing errors and the financials, sales orders and reporting is clunky and amateurish compared to what is available on market. It is not flexible in allowing settings to be used to customise the system to be relevant to the organisation. E.g. WET calculation choice and which calculation is used based on Retail sales. MYOB does not seem to have a problem with the different reporting calculations with WET but vintrace does especially when inter-grating with Xero. Information comes through as one line. Not option for wine that is not rebatable and rebatable. Have to split up each Xero invoice to correctly report the WET. Integration is only one way. Any changes to the system can not be transferred back the other way. I do not believe the system should be advertised as being able to integrate with Xero it just data dumps as there is only a once of communication with Xero.

Pros:

I like it has the potential to be an intergrated package that works well in not only the manufacturing but right through to the finance and invoice. Inconsistencies make it difficult to trust.

Cons:

Intergration options with Xero or other accounting software packages. Attention to detail is not their. E.g. on sales orders you have to sometime click the dates multiple time for it to register correctly. Reporting is terrible and limited compared to other sofware packages and requires a great deal of time and manipulation in excel to extract the information required for production, marketing and finance. Inability to customise simple things like an invoice. Or the template for sending invoices. The email sent to clients is extremely unprofessional but can not be changed. the only option is to email information to myself and update the correct working or download the sales order and send as attachment. Not professional at all.

Vintrace Review

Comments: I have mixed emotions about this software. The support used to be really good with walking you through issues, now it seems like a get AI more than people. The features it includes are great if you can manage to use them correctly and know what you're doing, but overall, there are better softwares out on the market that are easy to pick up without a lot of instruction. Unfortunately, Vintrace is not that software for me and my team.

Pros:

Initially, the user interface was what attracted us to the software. It looked intuitive and easy to use. There are plenty of features that if utilized correctly, are a great benefit to the production of the company.

Cons:

The UI was more clunky that it seems. If a mistake is made, it can be difficult to amend something that should be easy enough to just fix. There are other production softwares that simply do a better job with ease of use and onboarding a team.

Alternatives Considered: InnoVint, WMS Winery Production Management, Winemaker's Database, Amphora and Wine Production System

Reasons for Switching to vintrace: It appeared to be the most integrative with our production level and team at the time.

Vintrace Winery Software Review

Comments: Great software. Makes the admin easy so you can focus on making wine!

Pros:

The ability to quickly view a wine batch or tank with its current status & analysis Clear production history, great for Audits Generating Work Orders is easy with templates and standard notes. Great system for managing dry goods / additives.

Cons:

At times being cloud based it can take a while to load. With the new portal some of the reporting functions is harder to get to.

Vintrace is the best winery software

Comments: We had used several other methods for winery and warehouse stock tracking. This software beats them all.

Pros:

The interface is easy to set up and use. The app is also very good. Customer service is very helpful.

Cons:

The vineyard module is a little confusing with respect to calculating yields but otherwise it is fine.

Easier than Ezy......

Comments: Overall would thoroughly recommend. Best winery software I have used for production and work order flow.

Pros:

Logical & easy to use. Easy to pick up for new users. Good for contract clients & paperless cellar.

Cons:

Initial import is time consuming. Customer service email often goes to US & can take 24+ hours for response. Some cellar activities (Blending) could be improved.

Pros:

In my experience Vintrace is significantly easier to use than the main competitor - there are literally less key strokes to access the same data, and the interface is intuitive. With relatively little training we can have 'light' users of Vintrace doing things like adding lab analysis. Heavy users (winemakers) need more experience and training to get the most out of the software, but the help desk is easy to access and can generally answer questions in the moment while on the phone. The phone app is a terrific recent addition - walking around the tank farm I can easily look at composition or lab results. I can make tasting notes or other little reminders without having to be at my desk.

Cons:

There is not much to dislike, but if I have to find a criticism, I wish the work sheets were easier for cellar hands to read. But as I write this I'm thinking I should take this up with the help desk as there is probably a simple fix to present worksheets in a custom template?

Good information in = good information out

Pros:

Training and support is outstanding. Easy to use once trained. Accurate. Costing. Cloud based software can be operated anywhere with a internet connection. Customizable.

Cons:

Nothing. Any and all issues are easily resolved with outstanding customer support

Industry Leading Software

Comments: We moved from an antiquated wine tracking system requiring a good deal of paper and a full time data entry clerk to Vintrace. We manage all compliance with minimal effort and receive a higher degree of precision and reporting capacity in return. The system provides an incredible amount of data to ourselves and clients with the click of a mouse. I honestly love it.

Pros:

Intuitive Easy to use Flexible Real time Computer or app based Amazing customer support Integrated billing is key to our business

Cons:

I’d like to see more client access. Currently our winery clients don’t have the level of visibility into their wines that they desire.

Comments: Cons continued
- Vintrace app - Would be good to be able to click on a dispatch to see the same detail as the web version
- Vintrace app - To reserve stock, we enter an SO without dispatching. VIntrace allocated this stock to the 'Crush Pad'. It would be good to be able to click on this location to see which customers have reserved the stock
- When conducting a dispatch search, it would be good to search by customer
- No ability to view a stock dispatch from the Sales Order
- When pulling a report, cannot select multiple options [ie more than one customer or stock type]. Would be good to search by SKU - having single bottles and cartons makes for a very large SOH report
- Consolidate the carton and single bottle

Pros:

Ability to integrate with Xero. Live stock on hand from Phone

Cons:

- Payment terms on pricelist, not on customer level. Require multiple pricelists for each payment term. - No option for EOM terms past 30 days - No ability to sell a part case [ie 0.5 of a 12p to sell 6b] - No ability to handle retail WET without manually journaling to Xero each month - Terms on pricelist not visible on Sales Order. Must enter manually at customer level - Cost allocation method is different depending on whether you are bottling, purchasing a stock item or allocating storage/freight - No easy way to ensure that costs allocated in Vintrace reconcile to the relevant invoice/Cost of Sales accounts in Xero - No ability to sync payment terms on PO's from Vintrace to Xero - When creating a stock item, Vintrace asks for an 'Asset Code'. This should be a 'COGS Code' so that the expense on the PO is allocated to COGS in Xero - No ability to dispatch a Sales Order more than 24 hours in advance - Would like the ability to group data more efficiently. No ability to allocate stock items by SKU, Brand, Vintage, Variety, Region, etc when creating the stock item - Sales Orders automatically close once saved. Need to go back into the SO to click on the Xero link to invoice the customer - When correcting a dispatch, the volumes of each stock item revert to zero. The volumes should remain so that you dont need to re-enter all volumes - especially if you are only correcting one Continued in 'overall experience'

Vintrace Review

Comments: There are several utilizations of client billing that have been helpful to use with vintrace. For example, automatically tying an additive or operation to a price and automatically showing up on the invoice. Also, analysis tracking has been useful. There are some aspects that are less helpful with the way our custom crush billing is set up that makes it difficult to use vintrace. Overall, a good experience (once you learn the system.) But plenty of room for improvement.

Pros:

There are many capabilities that may or may not be utilized, depending on how in depth you want your tracking to be. The system can track everything from wine compositions and gallons and equipment and storage and dry goods inventory and costing all in one place. You may choose to use all or only some of the functions which makes it pretty versatile for different business models.

Cons:

- Unable to perform topping from more than one topping vessel at one time. - There is "time-tracking" of labor for completed work orders, but not a way to export this data in a manner in which beneficial to track labor costs. Generating reports from this data would he helpful. - CSV files generated are not very "clean" looking. I always have to do a lot of reformatting in order to be able to send a clean looking excel report to clients and other staff. - Client logins where they can generate their own work orders for custom crush would be a plus.

Comments: Organisation & barrel tracking has been made much better

Pros:

generally easy to use lots of good warnings come up. assimilates well with our Foss data

navigating changes in the background can be tedious if not set up correctly

Vintrace Review

Comments: Very great at record keeping. You can attach all files so they are easy to access if audited. Customer support is fantastic. Once you get a hang of it, you can utilize vintrace to work in the best way for your company.

Pros:

You can tailor to the program to your specific needs. It's very easy to use, and you can set up the program in a way that makes the most sense for your winery/business. Once you get the hang of it's features, and how to navigate through the program, it is very easy to use and understand how to operate the vintrace system. It's very user friendly. It is easy to train people on how to use the interface in the winery.

Cons:

It can be a bit daunting at first glance. Sometimes it can be a bit too open ended, and will take a bit of trial and error to set up systems to work the way that is best for your company/day-to-day use.

Vintrace - Pro's & Cons

Comments: Vintrace has given us a good platform for Cellar management and it is functional for packaged goods inventory.

Pros:

This platform is heavily skewed to Cellar Management and our Winemaking team are pretty happy with how they can produce Work Programs and manage fruit intake, cellar operations and the wines generally. From the bottled goods end, it works well for packaged inventory management and dispatch

Cons:

COGS are tricky to get super accurate. We can't customise invoicing or the Dashboard, which has been designed purely with Cellar management in mind. Being based in Australia, the invoicing simply cannot handle the WET tax calculations so we are having to do these manually to ensure we are compliant with ATO requiremnts.

Great features and ease of use

Pros:

It is very easy to use. There are a lot of features that make Vintrace very powerful and you can get a lot out of it.

Cons:

Topping barrels can be a little annoying with having to break a barrel group to then top them if you are using different wines to top with or get an accurate amount into specific barrels

Love Vintrace!

Pros:

The up to date interface and ease of use.

Cons:

I think there needs to be some more work on product allocations and allocation reporting.

Vintrace - going in the right direction, just needs some tweaking

Comments: Overall Vintrace is a really useful program that is easy to learn to use and is vital for our business.
They are also really good at listening to the customers needs and altering the program to meet these.

Pros:

At a basic level of just writing and updating job notes Vintrace is easy to use. It is also really well set up when you are viewing a product to look at all the different aspects such as lab, composition and additions.

Cons:

The new vessel search feature is a bit ugly and not the easiest to use. It can be annoying when it keeps clearing the search if you go into a product and then come back out without clicking on the correct link.

Vintrace is a no brainer

Pros:

The functionality is very initiative. The way the app has been setup in the cloud means I can work from anywhere and still ensure I can setup jobs for my employees, even from the other side of the world. Being able to export and import data in mass has made yearly changes in vintages so much easier and a huge time saver.

Cons:

Could be more focus on streamlining inventory side of the software as it was winemaking first. Would like to see the mobile app on the inventory side.

Lab point of view

Comments: Overall Vintrace is a well-organized and full of different features we can't have one day without it.

Pros:

Organized data with easy access to most features. Easier DMA data uploading adds way more points which we have been waiting for 5 years. Mass data uploading is also a great help.

Cons:

Would have been good to add function to email/in-system notify someone say winemaker if result is abnormal. Or options to choose to be notified or to track specific tank if someone else update the result which is in high importance. At the moment we are using email but would be so much easier if it's included in Vintrace.

An invaluable tool

Pros:

The system is comprehensive enough that if you use Vintrace you immediately irradiate the need for multiple spreadsheets and has streamlined the way we work. We have found the ability to easily pull reports a very useful tool as well as inventory tracking, costings, fruit intake and analyses, barrel work, additions - actually you get as much out of the system as you put in. Vintrace and the app has become an invaluable tool for managing our business on a daily basis.

Cons:

The software isn't the most intuitive, you will need to invest time to get to know the system's intricacies, which to begin with can be quite frustrating. We are UK based so when we contact customer services we need to factor in response time - which to be fair has always been very quick considering.

Feedback

Comments: Overall, I like using Vintrace and it does help the organisation of my work on a daily basis. I probably only use a small percentage of it at the moment and would like to know all the possibilities I have available.

Pros:

I've only started using it less than a year ago. It wasn't necessarily easy to get used to it, but once you start using it on a daily basis, it becomes a real tool and helps you keep track of your wines and jobs.

Cons:

The helpdesk could be more interactive. I struggled learning how to use it and the assistance hasn't been great. I would have liked a bit more guidance from a Vintrace staff to help me get my head around it and gain some speed.

Vintrace - great program & app

Pros:

Vintrace is a great program which allows us to track all that goes on in the winery. The app is great too, to get info while out in the cellar. We have a barrel scanner too, which saves a lot of time from filling barrels through to having the stickers on the barrels.

Cons:

I would like to have more visibility of small additives. Also while the app is great, we don't need to ever change the varitey of a wine, but we do need to change the locations, which we can not at the moment.

Integration

Comments: It been great in general, the only feedback is that the vintrace wait until several users request some features, this means takes long time to make improvements that can make big difference to people's work life when already been identify that would be a good one from a company.

Pros:

I believe Vintrace should be integrated with other viticulture software's. Integration is the key for the future.

Cons:

I believe integration is the higher rock block in Winemaking industry - companies should talk to each other.

Boutique Winery Suite

Comments: Vintrace does a great job listening to feedback and continuously working to improve their products.

Pros:

It's easy to use and cloud based, and the app makes it convenient to update on the go.

Cons:

The boutique suite is lacking some key features such as backdating that make it somewhat unuseable during busy periods. That feature is slated to be added in the next update, so I'm hopeful that it will be significantly better soon.
